Applicant Status Set Up
Applicant status is optional but is a powerful way to keep track of applicants.
You can use the applicant status anyway that you like. Here are two suggestions:
Option 1: Traditional applicant tracking
9 Ineligible
8 Withdrawn
7 Not Suitable
6 Offer Declined
5 Shortlist or Eligible
4 Incomplete Application
3 Interview
2 Offer
1 Accept
Blank To be reviewed.
Option 2: More applicant detail
9 Ineligible
8 Withdrawn/declined
7 Not Suitable
6 Incomplete application
5 All other- shortlisted (or eligible)
4 International- shortlisted (or eligible)
3 First Nations - shortlisted (or eligible)
2 Disability– shortlisted (or eligible)
1 Accepted
Blank To be reviewed.
Applicant status can be set up (or edited) after receiving applications.
If you use the Hiring Manager View function managers will see the applicant status.
How Applicant Status Works
Assigning an applicant status applies to all roles for the Program.
For example, a '9' Ineligible will carry over to all roles. Simarly, an '8' Withdrawn status displays for all roles.
If you assigned status '5' Shortlist (or Eligible depending on your preference) to an applicant, that will carry across for any role where they meet the selection criteria. If the applicant doesn't meet the selection criteria for a role, they will not display in the available applicants (despite having status 5) and cannot be shortlisted.
You decide which role(s) the applicant be shortlisted
Here's an example:
An applicant meets the criteria for a Mechanical Engineering role. You update their status to '5' shortlist (or eligible). At this point they are not in the shortlist. To add them to the shortlist check the applicant box and SAVE.
In a second role, for Mechatronic Engineering, the same applicant displays as meeting criteria. Their status has already been created and displays as '5' shortlist (or eligible). Now you can choose whether to shortlist them for that role as well. If you decide NOT to shortlist for the Mechatronic role, do not check the box and SAVE to the shortlist. Even though their status is '5' Shortlist (or eligible), they will NOT display in the Mechantronic Engineering shortlist.
When an applicant is shortlisted for more than one role, the system creates an alert message, where you can choose to keep them in all shortlists or decide in which shortlist to retain them.
